How you actually get paid

ESA money arrives three different ways.

Which one you are on decides what the invoice has to carry, who touches it, and who the money lands with. esadesk reads that from your program rather than from a template.

Platform fees come out of what you are paid. Some states let you itemize the fee back to the family and some ban it outright, so esadesk blocks the send where it is banned.

The family buys first
1. You list what you offer on the marketplace.
2. The family buys it from the child's account.
3. That order is the payment request, so nothing gets submitted for approval.
4. You confirm delivery, invoice against the order where the state asks for one, and the platform pays you.

These are shapes, not a tidy split: Utah runs a marketplace and a reimbursement lane, so it sits in two of them. Each program guide spells out its own.

What a bounce costs

Every rejection restarts a clock you don’t control.

ESA platforms send invoices back over missing fields. The processing clock starts again from zero, and nobody outside the platform can see where the claim sits.

Every claim state is a confirmed signal: something esadesk observed, or someone attested to, labeled as such. Even a chat app pre-fetching the packet link doesn’t count as “opened”, because bot fetches are recorded separately.

Where the rules come from

Every check names the document it came from.

Program rules live in esadesk as cited data, not as copy somebody wrote once. 10 of the checks are the universal invoice fields that no state accepts an invoice without, and those block on all 18 programs, so they count once for each program in the total. The other 43 are a program’s own rules. Where one of those is not yet confirmed against a primary source it is labeled provisional in the product. 21 are today, and not one of them blocks a send.

Straight answers

How is this different from an invoice generator?: A generator’s job ends when the PDF exists. Everything expensive happens after that: the parent has to submit it on the platform, the claim sits somewhere for weeks, some of them come back, and at year end you need the whole trail. esadesk carries all four, and the invoice it writes cannot be sent until it is complete for that program.
How do I know the rules are current?: Every check names the state or platform document behind it, and the whole reading list is printed on this page. All 18 programs were reviewed in July 2026. Where a rule is not yet confirmed against a primary source, it is labeled provisional in the product and it warns instead of blocking, rather than being stated as fact.
Does it connect to ClassWallet or Odyssey?: No, deliberately. The platforms’ terms let them suspend vendor accounts at their discretion, so esadesk never scrapes them and never injects anything into them. It works at your edges: the invoice, the parent’s page, your records.
Can you see inside the platform’s review queue?: No. Nobody can, and tools that imply otherwise are guessing. esadesk shows the signals it actually observed (sent, opened, submitted, money landed) and names the dark stretch in between.
What about student data?: Parents never create an account or type a password, student fields are kept to a minimum, and the free checker runs entirely in your browser, so a real child’s name is never needed to try it.
What does it cost?: $29 a month for a solo practice and $59 for a full roster, and the first 10 days are a free trial, nothing charged until it ends.
